Team and roles
Invite people by email or link, give them a role, change or remove them, and understand who can change whom.
Open More, then Team to manage who is in your workspace. Owners, Super admins and Admins can invite and manage members; everyone else sees the list.
Invite someone#
Choose to invite, pick a role (Admin, Member or Viewer), and send the invitation in one of two ways:
- By email. Breno sends the person an invitation to the address you enter.
- By link. You get a link to share yourself.
Pending invitations are listed, so you can see what is outstanding. The role you can give is limited to ranks below your own. See Roles and permissions.
Change a role, or remove a member#
Select a member to change their role or remove them. You can act only on someone ranked below you, and only to a role below you. You cannot change your own role, and the Owner cannot be changed by anyone else.
Removing a member ends their access at once, including every personal token they hold. Items they added stay in the workspace; they are shown as added by a former member only if the account is erased.
Ownership#
A workspace has one Owner. Ownership can be transferred, and the transfer is recorded in the audit log. Only an Owner can assign the Super admin role.
Roles at a glance#
| Role | Can |
|---|---|
| Owner | Everything, including deleting the workspace |
| Super admin | Manage the workspace; assigned only by an Owner |
| Admin | Manage members, sources, settings, audit and billing |
| Member | Add and organize knowledge, ask, use tokens |
| Viewer | Read and ask only |
Good practice#
- Give the lowest role that does the job. Most people should be Members.
- Use spaces to limit who can read sensitive material, instead of relying on role alone. See Spaces and sensitivity.
- Turn on required two-factor authentication for the workspace. See Workspace security.
- Review the audit log for role changes. See Audit log.
